Selden Fox Ltd. (“Selden Fox”, “Firm”, or “we”) is an accounting firm which provides audit, assurance, taxation, accounting, and consulting services to privately held businesses, government entities, nonprofit organizations, and individuals. As certified public accountants (CPAs), we have been and will continue to be bound by professional standards of confidentiality that are even more stringent than those required by law. Your privacy, our professional ethics, and the ability to provide you with quality services are of utmost importance to us, therefore, we have always protected your right to privacy.

The following policy outlines our practices for protecting personal information that we collect in connection with the services we provide, how we utilize the personal information, and the options you may exercise regarding the use of, and the ability to correct, that information.

Types of Nonpublic Personal Information We Collect

As part of our service engagements, we collect and use nonpublic personal information to provide the services you have requested and on occasion to operate our site (www.seldenfox.com). We may also use your personally identifiable information to inform you of other Selden Fox services available.

The most common types of information we collect include things like: names, user-names, email addresses, IP addresses, other contact details, tax information, and web analytics data. We will also collect personal information from job applications (such as, your resume, through an application process, cover letter and interview notes).

When you directly submit personal information to us, you are consenting to the use of your personal information (including any disclosures, processing, and transfers of your information to third parties by the Firm) in accordance with this privacy policy. Website Use

To use our site, you need not send us any personal information. You may volunteer your personal information, such as your name and contact information, by subscribing to our bulletins (https://www.seldenfox.com/subscribe), registering for events, applying for open positions, requesting an estimate, or using the “Contact Us” feature on our site. We may use the personal information you provide through the site to respond to your request(s). If you no longer wish to subscribe to the information and communications we send, you can request that we discontinue any communication by contacting us via email at newsletter@seldenfox.com.

We do not seek sensitive personal information on our site except as part of the recruitment process or through our client portal.

Recruitment

If you choose to apply for a job through our site, we may collect information such as name, and contact information; work and educational experience; licenses and certifications; and other personal information. Your decision to apply online with such information is entirely voluntary. We may use this information to evaluate your employee application and to communicate with you about employment opportunities. We may also retain and use this information to identify and communicate with you about future potential opportunities. If we elect to make an offer of employment, this information may also become part of the employee file and may be used for other employment and work-related purposes.

Client Portal

In connection with providing our services to our clients, we enter into contracts with clients that describe the purpose for which information (including personal information) is collected and used. Entities that engage with Selden Fox are responsible for obtaining, as required by law or regulation, consents from parties (individuals, employees, etc.) that have provided the entity with their personal information, which will be transferred to and used by Selden to perform the services requested. Individuals that engage with us directly will be asked to consent to provide their personal information to us to perform any services requested. For the transfer of information, clients will be provided access to our secure client portal system accessible through our site although operated by a third party.

Our legal basis for processing any personal information provided to us is either that: (i) you have expressly consented to the practices described in this privacy policy by voluntarily providing your personal information to us, or (ii) such processing is necessary for the performance of a contract where we have been engaged to provide you services.

We retain personal information for only as long as necessary for the intended purpose for which it was collected, unless a longer retention period is required or permitted by law or our document retention policies based on professional standards and best practices. We may also store your name and email address in a customer relationship management tool or marketing automation system for the purpose of managing our relationship with you and/or your company.

Website Visitor Analytics

Selden Fox automatically logs certain information about user access to our site, including but limited to user’s internet protocol (IP) address, browser type, internet service provider, referring/exit pages, operating system, as well as date and time stamps.

Additionally, we use Google Analytics, a web analytics service provided by Google, Inc. This analytical tool uses cookies and other technologies to help analyze how visitors use sites. Do-Not-Track

Some web browsers incorporate a “do-not-track” or similar feature that signals to sites with which the browser communicates that a visitor does not want to have his or her online activity tracked. As of now, not all browsers offer a “do-not-track” option and “do-not-track” signals are not uniform. For this reason, we are currently unable to respond to “do-not-track” signals.

Disclosures and Transfers

For current and former clients, we do not disclose any nonpublic personal information obtained while servicing you except as required or permitted by law. Permitted disclosures include providing information to our employees and, in limited situations, to unrelated third parties who need to know that information to assist us in providing services to you; to participate in our mandatory peer review program as a member of the Audit Quality Center of the American Institute of Certified Public Accountants; and to comply with federal, state or local laws, for example, in response to a summons or subpoena or to various tax authorities, or to your regulator’s request to review our work papers.

We do not sell, rent, or lease client or site visitor information to third parties. We will not disclose personal information to third parties, except as set forth in this privacy policy, when we have permission to make the disclosure, or as necessary to fulfill the purpose for which the information was submitted. We also may use or disclose personal information as we believe to be necessary or appropriate (a) under applicable law; (b) to comply with legal process or professional standards; (c) to protect our rights, privacy, safety or property and/or those of our affiliates or clients; or (d) in a merger, acquisition, or asset sale.

We may periodically contact you on behalf of external business partners about a service or product offering that may be of interest to you. In those cases, your email, name, address, and telephone number will not be transferred to the third party. Occasionally we may share data with trusted partners to help us perform statistical analysis, send you email or postal mail, or provide client support. All such third parties are prohibited from using your personal information except to provide these services to Selden Fox, and they are required to maintain the confidentiality of your information.

The Firm may use third-party service providers to provide administrative or operational support. Such entities may be located within or outside the United States and, depending upon the services, they may have access to personal information in connection with their services. We require all such service providers to protect the information we entrust to them and to use such information only as necessary to provide services to us.

The transfers described above may result in data passing from one jurisdiction to another, including to and from the United States, and possibly other countries outside of the European Economic Area, some of which may not have been deemed by the European Commission to ensure an adequate level of protection for personal information.

Third-Party Sites

This privacy policy does not address, and we are not responsible for, the privacy, information, or other practices of any third parties, including any third party operating any site or service to which our site links. The inclusion of a link on our site does not imply endorsement of the linked site or service by us.

Protecting the Confidentiality and Security of Current and Former Clients’ Information

We retain records and work papers, both hard copy and electronic, relating to professional services that we provide, so that we are better able to provide our services to you and to comply with our professional standards. To guard the nonpublic personal information of your customers or members, we maintain physical, electronic, and procedural safeguards that comply with our professional standards.

Access and Correction

If an individual becomes aware that information we maintain about that individual is inaccurate, or if an individual would like to update or review his or her information, the individual may contact us using the contact information below. We will take reasonable steps to permit individuals to correct, amend, or delete information that is demonstrated to be inaccurate. We may limit or deny access to personal information where providing such access would be unreasonably burdensome or inappropriate under the circumstances. All requests to access or change personal information will be handled in accordance with applicable legal requirements.

In addition, if you are a resident of the European Union, you may have certain rights under European data protection law with respect to your personal information, including the right to request access to, correct, amend, delete, limit the use of, or withdraw your consent for the processing of your personal information. We will take the necessary steps to address your request to the extent consistent with and permitted by laws, regulations, and professional standards applicable to our policies. If you are a client and request that we delete or limit the use of your personal information required to perform our services, we may not be able to complete our engagement.

Enforcement and Dispute Resolution

We will investigate and attempt to resolve complaints and disputes regarding our use and disclosure of personal information in accordance with this privacy policy. We encourage interested persons to raise any concerns with us using the contact information below. Any employee who we determine is in violation of our privacy policies will be subject to disciplinary process.

If you are a resident of the European Union and your inquiry with the Firm has not been satisfactorily addressed, or if you believe we are processing your personal information not in accordance with the law or this privacy policy, you may file a complaint to the Data Protection Authority in your country of residence.

Minors

This site is not directed at persons 18 years of age or younger, and we do not intentionally collect information from anyone under the age of 18 through our site.

Notification of Changes to Privacy Policy

Selden Fox reserves the right to modify this privacy policy as needed. If we decide to change this policy, we will post an updated policy to the site.
